Terms and Conditions

  • The Supplier shall guarantee that all bookings made in checkCharlie™ on-line reservation system (referred to as "the System") by the Partner will be provided. The Partner accepts sole responsibility for accuracy of all bookings made in the System with the use of its username and login (referred to as "access codes").
  • Prices displayed in the System are net to OK-TOURS and they are based on year to year contracts with all included hotels. During the contractual year, special offers may be submitted depending on the present situation.
  • All rates in the System are valid for individuals (FITs). Rates for tourist groups and corporate events (seminars, conferences, incentives) shall be quoted on request outside the System.
  • Access to the System
    After signing the Co-operation agreement by both Parties, the Supplier shall provide the Partner with all required access codes needed for successful use of the System. The Partner agrees to keep the access codes strictly for the needs of the authorized personnel using the system for hotel or other service bookings and agrees not to disclose such details to any third party.
  • Cancellation and Refund Policy
    The terms and conditions of the cancellation and refund policy between the Supplier and the Partner are determined in the General Conditions that form an integral part of the Co-operation Agreement.
  • Payment Policy:
    The services shall be rendered on the basis of prepayment. No bookings made via the System shall be confirmed prior to successful receipt of payment from the Partner.
    Invoices must be settled by the Partner via bank transfer to the Supplier's bank account or via credit card by due date, not later than 3 working days prior to arrival of the client. Unless otherwise agreed, all applicable transaction charges are to be borne by the sender.
  • Emergency Assistance:
    OK-TOURS supplies its partners with 24-hour emergency assistance in Prague. In case of emergency, the OK-TOURS help desk can be reached at: +420-222 521 700.

General Conditions

  • Prices are net to OK-TOURS and they are based on year to year contracts with all included hotels. During the contractual year, special offers may be submitted depending on the present situation. The special offers may not be combined.
  • All dates included in the hotel price list are inclusive of the last night.
  • All rates are valid for individuals (FITs). Rates for tourist groups and corporate events (seminars, conferences, incentives) shall be quoted on request.
  • Prices of additional services booked without hotel accommodation may be subject to surcharge.
  • Cancellation Policy - FITs:
    Details of cancellation policy for FIT bookings are provided in the hotel price list. Where not given, the usual cancellation policy is as follows:
    • 7 days prior to arrival – Free of charge
    • 6-3 days prior to arrival – 50% of the total price
    • 2 days or no-show – 100% of the total price
    Please note that the above policy is always subject to re-confirmation at the time of booking.
  • Cancellation Policy - Groups:
    Unless otherwise stated, the group comprises 15 participants or 10 rooms as applicable. Details of group cancellation policy shall be confirmed with each booking ad hoc. Usual cancellation policy is as follows:
    • 31 day prior to arrival – Free of charge
    • 30-15 days prior to arrival – 70% of the total price for accommodation
    • 14-05 days – 90% of the total price per group
    • Less than 4 days or no show – 100% of the total price per group
  • Payment Policy:
    Payments for all bookings shall be made via bank transfer against an invoice submitted by OK-TOURS. Both individual and group bookings shall be paid by the due date given on the invoice. All group bookings are subject to deposit payments. New partners may be required to pay deposits also for individual bookings. The payment is considered to be completed at the moment of assignment of the paid amount at OK-TOURS bank account. OK-TOURS will reserve the right to cancel and not to provide to the client any properly ordered and confirmed services if the payment for such services has not been made on the given due date. Unless otherwise agreed, all applicable transaction charges are to be borne by the sender.
  • Claim and Refunds:
    Refunds for services rendered by OK-TOURS must be claimed without further delay either by the client in person at the OK-TOURS office in Prague, or in writing within one month from the day of occurrence of the event claimed, through the travel agency booking the services for the client via OK-TOURS. Assessment and settlement of claims will be carried out according to the Czech law. OK-TOURS disclaims responsibility for all damages arising from "force majeure" that prevent it from fulfilling its commitments.
